FULL ROLE DESCRIPTIONS


Orientation Team 

(1) Orientation Team
Role Description
    • Create an information page for our website with useful information for those traveling
    • Be attentive to the WhatsApp group for the conference (we will re-purpose the roommate-finder WhatsApp to be a general conference group as we get closer to the event)
    • Create other resources as needed to help people arrive at the event
Requirements:
    • Must be familiar with Vienna
    • We will need speakers of various languages
Timing:
    • Needed from now until the beginning of the evento 


Set Up and Registration Team

(2) Set up and Registration Team
Role Description:
    • Help the day before the event to organize materials
    • Staff information tables at the venue during day 1 and part of day 2 
    • Help to check people in the opening day of the event and if necessary the second day
Requirements:
    • We will need speakers of various languages
Timing:
    • Tuesday June 2 – Thursday June 4

 


Focusing Book Table (Organizer) 

Role Description: 

  1. Organize an on-site bookstore, including volunteer staffing 
  2. Coordinate with venue to find a permanent space with enough room for tables, book storage, and sales setup 
  3. Optional: coordinate sponsor tables (e.g. massage/bodywork) 

Commitment Timing: Advance & On-Site
Estimated Team Size: 1 
Location Requirement: Yes (must attend conference)
Language Requirement: Yes (English and German) 


Focusing Book Table (Shift worker) 

Role Description:

  1. Sit at the bookstore in defined shifts 

Commitment Timing: On-Site
Estimated Team Size: 5-20 
Location Requirement: Yes (must attend conference)
Language Requirement: Bilingual (in any language) is ideal, but not required 


Changes/Interest Groups (Organizer) 

Please see below if you wish to lead a Changes Group or an Interest Group.  We also seek someone to work with those leading the groups to ensure their smooth functioning.

 


Changes/Interest Groups (Leader) 

Role Description: 

  1. Lead a Changes group each day for one hour before lunch.

Estimated Team Size: 12 
Location Requirement: Yes (must attend conference)
Language Requirement: No 
Eligibility for Work Study: No

  1.  If you would like to lead a group in your language, please indicate this. 
  2.  If you prefer to lead an interest group during this hour, please submit a proposed description and your background in that area. 

Interest Group Description: An interest group can be organized in a number of ways, but the purpose is to have a Focusing conversation around a topic (not a presentation nor a lecture). One suggested format could be that the leaders introduce the topic briefly (not more than about 10 minutes) and then break the group into dyads or triads to allow for participants to share their thoughts, experiences, or to focus, then come together as a large group again to share what emerged. The idea is to have a process over several sessions on a specific topic.


Public Relations 

Role Description: 

Generate media about the event, so that people in and around Vienna hear about Gendlin because of this event

Commitment Timing: Advance & On-Site
 

 


Translator 

Role Description: 

  1. Work in advance with the presenter to have materials in German, English, and 3rd languages as appropriate 
  2. Interpret at the event for the presenter(s) assigned to you 
  3. In some cases, headsets will be used to allow simultaneous translation; in other cases, translation will be sequential

Eligibility for Work Study: Yes; To qualify for work/study, you must commit to translating 4 presentations

Role Description: 

Generate media about the event, so that people in and around Vienna hear about Gendlin because of this event

Refreshments & Gala Team

Role Description: 

  1. Work with venue to ensure that meals/snacks are arranged and on time 
  2. Communicate any changes (or request for changes) from the venue to the leadership, or vice versa 

Commitment Timing: On-Site
Estimated Team Size: 5 (1 Organizer and 4 Team Members)
Location Requirement: Yes (must attend conference)
Language Requirement: Yes (Bilingual: English and German) 
Eligibility for Work Study: Yes, for the Organizer


Videography and Photography

Videographers for the Event

Role Description: 

  1. Several videographers to record and edit high quality videotaping of workshops with high quality sound recording 
  2. This will serve two purposes: a. To make videos of workshops available after the event 
    b. To produce a video commemorating the event 

Commitment Timing: On-Site
Language Requirement: No 


Photographers for the Event 

Role Description:

  1. Be present at the event and photographing the event 

Commitment Timing: On-Site
Language Requirement: No 


Audio/Visual (tech) team 

Role Description: 

  1. Coordinate with venue staff to ensure each workshop has necessary A/V equipment 
  2. Team members take shifts to monitor for glitches during workshops and help presenters with basic setup or connection needs 

Commitment Timing: On-Site
Language Requirement: No 
Eligibility for Work Study: Yes

  1. Organize the day and a half meeting of Coordinators and Coordinators in Training

Application Requirement: Must be a Coordinator or Coordinator in Training
